Building Information

Is there parking available?

Yes, free parking is available in the building’s private car park. We ask for practitioners and their clients to please park in one of the three reserved spaces under the pergola, which is to the right of the car park entrance. 

Is the therapy room wheelchair accessible? 

The therapy room is located within a period property and access from the client entrance includes two small steps. This may present difficulties for some wheelchair users and individuals with mobility requirements.

We aim to make reasonable adjustments to support access where possible. If you have any accessibility needs, please contact us by email before your appointment so that we can discuss your requirements and any available accommodations.

Are there toilets?

Yes, there are toilets available just down the corridor. 

Is there free WiFi? 

Yes - the password will be made available to practitioners after booking.

Is the building easy to reach by public transport? 

Although access to a car is recommended, the building is fairly easy to reach by public transport. The building is close to several bus stops linking to the town centre and rail station. 

How do my clients access the building?

There is a separate entrance for clients to enter and leave the building which is both discreet and private. Full instructions on how clients can access the building will be provided upon booking.

 

Room Information

What type of therapy is the room suitable for? 

Our room is suitable for a range of talking therapies for clients over the age of 18, with the set up allowing for both one to one therapy and couples counselling. We are currently unable to accommodate group therapy. 

We require all practitioners to provide evidence of appropriate qualifications, valid insurance, and membership with a relevant professional body.

Please outline the type of therapy you intend to carry out when sending your initial email enquiry. 

Can I access the room outside of standard hours?

At this moment in time the room is available between 8.30am and 4pm on weekdays only. 

Is the room private? 

Yes, the therapy room itself is fully private with a separate entrance for clients. Please note, however, that the room is located within a larger shared office building. The building is occupied by a local recruitment consultancy, who primarily use the main entrance and upstairs offices. On occasion, they may use the meeting rooms on the ground floor, set back on the opposite side of the corridor. 

While the space remains private and separate, you or your client may occasionally be aware of the presence of others within the building. 

Is there a waiting area for clients?

No, there is no waiting area for clients.  Please ask clients to wait in their cars and/or to arrive at the premises just before their session is due to begin. 

Are refreshments provided?

No, however light snacks and drinks are permitted. To help maintain a calm and comfortable environment for all practitioners and clients, we kindly request not to bring or consume foods with strong or lingering odours within the room. 

Is the room cleaned between bookings?

The room is cleaned professionally twice a week. Practitioners and their clients are expected to take all rubbish and belongings with them at the end of each session, and to leave the room as they find it. 

 

Booking Information

How many sessions can be booked?

Availability allowing, you can book as many sessions as you like. Sessions can currently be booked up to six weeks in advance. Please note that full payment is required at the point of booking. 

We’d be happy to discuss longer term rentals on an individual basis. Please email us if this is something you’re interested in. 

How can I make a booking?

Can I make recurring bookings?

Recurring bookings can currently be made up to six weeks in advance. We’d be happy to discuss longer term rentals on an individual basis. Please email if this is something you’re interested in. 

What is your cancellation or rescheduling policy?

Our full cancellation and rescheduling policies are outlined in our Terms and Conditions. A brief summary can be seen below:

  • Sessions can be cancelled or rescheduled (availability allowing) free of charge with at least 48 hours’ notice prior to the scheduled booking time. (We kindly request you give as much notice as possible, particularly if you’ve booked half or full day sessions.)
  • Cancellations or changes made within 48 hours of the booking will be charged at 50% of the booking fee. 
  • Cancellations or changes made within 24 hours of the booking, or failure to attend, will be charged at the full booking fee. 

Terms and Conditions will be provided via email before booking is confirmed and payment is taken. Practitioners who wish to book will be required to read and sign our Terms and Conditions.

Do you offer discounts for bulk bookings? 

Please email us  where we would be happy to discuss this further. 

Is there a minimum booking time?

There’s no minimum - you can book one individual session if that’s all you require. 

What are the payment terms?

Payments are required in full via bank transfer at the point of booking. Our full cancellation policy is outlined in our Terms and Conditions.

What should I do if there’s an issue during my booking? 

A number will be provided to you for any issues that may arise relating to your booking and the room itself. 

Can my booking be terminated or suspended?

While we’ll always do our best to avoid disruption, we reserve the right to cancel or terminate bookings in the event of a breach of our Terms and Conditions, or where events or unforeseen circumstances arise outside of our reasonable control.

Practitioner Information

What happens if I arrive late or overrun my session? 

Because the room is used by multiple practitioners, session times are fixed and cannot be altered or extended. If you or your client(s) arrive late, the session will still end at the scheduled time. 

For example, arriving 20 minutes late into a 75 minute session will leave 55 minutes remaining, which is inclusive of the allocated 10 minute changeover period at the end of the session. 

Repeated overruns (more than one) will result in future bookings (including existing reservations) being cancelled and refunded under our strike policy. 

Timely and smooth changeovers are essential to maintain client confidentiality and respect for all users of the space. 

Do I need professional insurance?

We require all practitioners to provide evidence of appropriate qualifications, valid insurance and membership with a relevant professional body.

Am I responsible for my own clients and records?

Yes, you’re fully responsible for your clients and their records, and require the correct insurances in order to use the room - as outlined in our Terms and Conditions. Please do not leave information relating to your clients in the room if you are not in there.

Can the address be used for my business listings?

No - the address may not be used for business registrations, online listings, marketing materials or as your registered business address.  

Can my equipment or supplies be stored in the room or building? 

No - all equipment or supplies must be taken with you at the end of your session. The building is fully secure, however the room itself is not lockable. 

Are there any house rules to be aware of?

Please only park in the spaces under the pergola, which have been reserved for practitioners and their clients. 

Full house rules will be outlined in our Terms and Conditions, however as a general rule of thumb, we require practitioners and clients to be respectful and mindful of other users in the building. You are responsible and liable for yourself and your client, so please ensure they’re aware of the necessary and relevant information that’s been shared with you before their session. 

How do I contact someone for support or emergencies? 

In the case of true emergencies, please call 999 without hesitation. If you need additional support with an issue relating directly to your booking or the room itself, please ring the number provided to you upon booking or send an email (depending on urgency). We endeavour to get back to you as soon as possible. 

What are your safeguarding and confidentiality expectations? 

We expect all practitioners to adhere to the code of ethics and professional standards of their relevant professional body, including appropriate safeguarding and confidentiality practices. Proof of professional membership will be requested prior to initial booking.

For health and safety purposes, the name of the practitioner using the room will be shared with the current tenant/landlord. Client names do not need to be disclosed; however, you must let us know in advance whether you will be working with one or two clients in your session so we’re able to maintain an accurate record of how many people are in the building in case of an emergency.

Are practitioners responsible for maintaining professional standards? 

Yes - we expect all practitioners to adhere to the code of ethics and professional standards of their relevant professional body, including appropriate safeguarding and confidentiality practices. Proof of professional membership will be requested prior to initial booking.

What happens if I breach the Terms and Conditions?

We may cancel current or future bookings where our Terms and Conditions are breached. In such cases, prepaid fees may be retained where reasonably necessary to cover losses, administration costs or where cancelled sessions are unlikely to be rebooked.

Is the space insured?

You’re responsible for maintaining professional indemnity insurance and public liability insurance with reputable insurers.

The space itself holds the appropriate insurances for appropriate talking therapies to take place. We’re happy to share this information on request.
